Builder’s Fireplace Company Inc (“Builder’s Fireplace”, “we”, “us” or “our”) respects your privacy. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It covers our website, our phone, text and email communications, and the information we collect while quoting, scheduling and completing work for you.

Builder’s Fireplace Company Inc sells, installs and services fireplaces, grills and related outdoor living products in West Michigan.

Information you give us

When you request an appointment or a quote, call or text us, email us, or fill in a form on our website, we may collect your name, mailing and service address, phone numbers, email address, and details about the work you are asking about.

Information created while we work for you

Quotes, orders, invoices, receipts and payment records; service history; appointment times and arrival windows; job notes; and photographs of the work area and the completed installation, including any photographs you send us yourself so that we can advise you.

Information collected automatically on our website

Our website uses Google Analytics, loaded through Google Tag Manager, to understand how visitors find and use the site. This sets cookies in your browser and collects information such as the pages you view, roughly where you are located, and the type of device and browser you use. We do not run advertising or social media tracking pixels on our website.

We do not collect payment card numbers through our website. Payments are handled by our invoicing and payment providers.

3. How we use your information
  • To respond to enquiries and prepare quotes.
  • To schedule, carry out and follow up on installation and service work.
  • To keep you informed about your job, including arrival windows, reminders, changes to a scheduled time, and photographs of work performed.
  • To invoice you and process payment.
  • To keep records of work performed on your property, including for warranty, permit and inspection purposes.
  • To meet our legal, permitting and tax obligations.
  • To understand how our website is used, so we can improve it.
4. Text messages

How you agree to receive texts

You can agree to be texted in three ways:

  • By ticking the “Text Opt In” box on the consultation request form on our website, which reads: “By checking this box, you agree to receive text messages at the number provided. Message frequency may vary. Standard message and data rates may apply. Text HELP for help. Text STOP to cancel.”
  • By texting us first, which starts the conversation yourself.
  • By giving us your mobile number and telling us we may text you about your project, for example when you book an appointment or accept a quote.

We do not buy phone numbers, we do not text people who have not asked to hear from us, and we do not add anyone to a list.

What we use text messages for

Text messages are a two-way conversation about your own project. We use them to:

  • Answer your questions, and look at photographs you send us of your fireplace, grill or project area so we can advise you.
  • Arrange and confirm appointments, and let you know if a time changes.
  • Tell you when a salesperson or technician is on the way to your home.
  • Let you know when an installation is complete and when the inspection is scheduled.
  • Tell you the result of that inspection.
  • Send you a quote, an invoice or a receipt.

We do not send marketing or promotional text messages, and we do not text you about anything other than your own work with us.

Frequency and cost

Message frequency varies depending on the work being done. Message and data rates may apply.

How to stop

Reply STOP to any message to opt out at any time. Reply HELP for help, or call our office at 616-897-0848.

Your mobile number

Your mobile phone number and your consent to be texted are never sold, and are never shared with third parties or affiliates for their marketing or promotional purposes. We provide your number to the messaging service that delivers our texts only so that the message can reach you.

5. How we share information

We do not sell your personal information, and we do not share it with other companies for their own marketing.

We do share information with service providers who handle it on our behalf, and only as far as they need it to do that work. These include our job management and scheduling system, our accounting and invoicing system, our email, phone and messaging providers, and the companies that host our website and software. They are permitted to use your information only to provide services to us.

We may also disclose information where the law requires it, where it is needed to obtain a permit or satisfy an inspection, to enforce our agreements, or to protect the rights, property or safety of people involved.

6. Cookies and similar technologies

Our website uses cookies that are necessary to serve the pages, together with Google Analytics cookies as described in section 2. Most browsers let you refuse or delete cookies through their settings; refusing analytics cookies does not stop you using the site. You can also install Google’s own opt-out tool for Analytics.

7. How long we keep information

We keep customer and job records for as long as we need them to serve you, honour warranties, meet permit and inspection obligations, and satisfy tax and legal requirements. Records tied to equipment we installed may be kept for the working life of that equipment, so that it can be serviced correctly years later.

8. How we protect information

We limit access to customer information to the people who need it to do their work, and we use established providers for the systems that hold it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices
  • Text messages: reply STOP to any message at any time.
  • Email: tell us, or use the unsubscribe link where one is offered, and we will stop sending non-essential email. We may still need to email you about a job in progress, a quote, or an invoice.
  • Phone calls: ask us to stop calling and we will note it on your record.
  • Seeing, correcting or deleting your information: contact us and we will do what we reasonably can, allowing for records we are required to keep by law or for warranty and permit purposes.
10. Children

Our services are directed to adults. We do not knowingly collect personal information from children under 13.

We may update this policy from time to time. The date at the top of the page shows when it was last changed.
